Document Intelligence — coming soon

Turn your property documents into an intelligent portfolio.

Your leases and property records already exist — scattered across drives, folders and PDFs. Vestibule is building a smarter way to connect them to the buildings, units, tenants and vendors they belong to, creating one organized, searchable view of your entire portfolio.

How it will work

From the documents you have, to a portfolio you can use.

  1. 01

    Connect your documents

Link a supported storage source or upload the records you already have. The aim is to work with wherever your files live today rather than asking you to move them first. No storage connection is available in the Vestibule application yet.

  2. 02

    Let Vestibule organize them

Each document is matched to the buildings, units, tenants, leases and vendors it belongs to — including the ones that belong to several, like a vendor agreement covering four properties.

  3. 03

    Build your portfolio

Your buildings, suites, tenants, leases and vendors are drafted for you from the documents themselves, so you review a portfolio rather than typing one in.

  4. 04

    Review what matters

Active and upcoming leases come first. Check the terms that drive billing and critical dates, and keep older documents searchable for reference instead of discarding them.

  5. 05

    Put your information to work

Search the whole portfolio, find the document behind any term, track critical dates, and get a clear answer about a lease without opening a folder.

Not yet a product screen

We are not showing an interface for something that has not shipped. When there is a real one — a repository connecting, records being identified, files organizing themselves against buildings and tenants — this is where it will go.

More than a document folder

A folder holds a file. Your portfolio should know what it says.

A shared drive can store a lease. It cannot tell you when the lease expires, which suite it covers, what the rent does next year, or whether the renewal window is still open. Connect that same lease to the building, the suite and the tenant, and those answers come with it.

That is what Vestibule is building: not another place to keep files, but a portfolio where your documents are attached to the buildings, units, tenants, leases and vendors they belong to — so the information you already own becomes something you can actually use.

One platform, three modules

Take the parts you need. Leave the rest.

Vestibule is built as modules rather than one package, so a landlord can adopt what solves a problem they actually have. Document Intelligence is being built to work on its own — organizing your property information without requiring you to move rent collection, and without changing an existing payment workflow.

Where things stand today: Tenant Operations and Payments & Collections are available now and in use by customers. Document Intelligence is in development and not yet in the Vestibule application — including every storage connection described on this page. When one ships we will name it here.

  • Document Intelligence

Review, with the lease beside it

Extraction is a draft. Your team still signs off.

Software can find a commencement date; it cannot be accountable for one. The workflow being built keeps the extracted term next to the clause it came from, so a reviewer confirms against the executed document rather than trusting a number in a field. The lease remains the source of the obligation.

Not yet a product screen

The review interface — an extracted term, its confidence, and the page of the lease it was read from — is in development. We will show it when it exists rather than mocking one up.

Questions

What is AI lease abstraction?

Lease abstraction is the practice of reading a commercial lease and recording the terms that drive day-to-day operations — commencement and expiration, rent schedule, escalations, renewal and termination options, notice windows, and how operating expenses are recovered. Doing it by hand takes hours per lease. AI-assisted abstraction uses software to find and extract those terms so a person reviews and corrects a draft rather than building one from a blank page. It does not remove the review: the executed lease remains the source of the obligation, and material terms should be verified against it before they are used for billing or a contractual decision.

Can Vestibule organize documents I already have?

That is what the module is being built to do. The intent is that you start from the documents that already exist — leases, amendments, vendor agreements, certificates, building records — rather than rebuilding your portfolio by hand. It is in development and not yet available in the Vestibule application.

Will I need to move my files from my current storage system?

The design goal is no. We are developing connections to common storage — network and mapped drives, Google Drive, OneDrive and Dropbox — alongside direct upload and a dedicated ingestion address. None of these are available in the production application yet, and we would rather not name a launch-ready integration before it is one. When a connection ships we will say which, and what it does.

Can documents be organized by property, unit and tenant?

Yes, that is the model being built, and it extends further than those three: a document can be associated with a portfolio or ownership entity, a property, a unit or suite, a tenant, a lease and its amendments, and a vendor. A single document can belong to several at once — a vendor agreement that covers four buildings, or a certificate of insurance that concerns both a tenant and the property.

Will Vestibule replace my accounting software?

No. Vestibule is built to run alongside the accounting system you already use, which stays your system of record. Your general ledger, receivables and owner reporting belong in a system designed for that work, and Document Intelligence does not change that.

Do I need to use Vestibule to collect rent?

No. The modules are intended to be adopted separately. Document Intelligence is being built so that a landlord can organize their property information without moving rent collection to Vestibule, and without changing an existing payment workflow.

When will Document Intelligence be available?

We are not giving a date. It is in active development, parts of it exist as a working prototype outside the production application, and we would rather tell you what has actually shipped than commit to a month we might miss. Request early access and we will tell you when there is something real to show you.
